Call Pilot Voicemail Commands

Instruction cards and sheets are available from the Helpdesk in Preston 15

New employees or new extensions: when you login to your mailbox for the very first time, you should perform the following 3 tasks

  1. Set up your new password
  2. Record a personal greeting
  3. Record your name verification

 

To login to your mailbox:

  1. Dial 2100 (824-2100 from an outside line) or press the Message Ctr key (digital phones)
  2. Press # if you are on your own phone or enter your mailbox number (your extension) then press #
  3. Enter your password, then press #
    To log out of your mailbox
  1. Press 83 -- Remember to log out of the system before hanging up, otherwise your port will be left open.

To listen to messages:

  1. Press 2 to listen to new messages
  2. When the message is finish you have several options
    • Press 76 to delete; to restore accidental deletes press 76
    • Press 73 to Forward the message to someoneelse's voice mailbox
    • Press 71 to reply. Then press 5 to begin recording your reply; press #to finish. Press 79 to send.
  3. Press # to pause message. To resume press 2.
  4. Press 3 to skip forward through the message by 5 seconds.
  5. Press 1 to rewind the message by 5 seconds.
  6. Press 4 to cylce back through messages.
  7. Press 6 to cycle forward through messages.

To reply to messages

  1. After listening to the message, press 71 to reply
  2. Press 5 to record your reply. Wait for the tone before you start to speak
  3. Press # to end the recording
  4. Press 79 to send your reply message
    To reply to all recipients:
  1. Press 74, repeat steps 2-4 above.
    To call the sender
  1. Immediately after listening to the message, press 9
  2. Speak to the sender or leave a message
  3. When finished, hang up

To forward a message

  1. After listening to the message, press 73 to forward
  2. Enter the mailbox number or distribution list number to which you want to forward the message
  3. Press #
  4. Continue adding mailbox numbers followed by #. Enter a final # to end the list.
  5. Press 5 if you wish to record an introduction. Wait for the tone before you start to speak. Press # to end the recording
  6. Press 79 to forward the message

To change password (user change)

  1. Press 84
  2. Enter your old password, then press #
  3. Enter your new password, then press # (new password must be four digits, cannot be extension number)
  4. Enter your new password again, then press #

To change password (New users or when password has been rest by administrator)

  1. Press 84
  2. Enter your old password, then press #  (old password will be the default 24xxxx, where xxxx is your extension)
  3. Enter your new password, then press # (new password must be four digits, cannot be extension number)
  4. Enter your new password again, then press #

Personal Verification
Personal verification plays a recording of your name when people leave you a message. To record a personal verification:

  1. Press 829 to initiate this feature
  2. Press 5 to start recording. Say your name (title, and extension if you like)
  3. Press # to end recording.

Greetings:
External & Internal

Record a personal greeting to let people know your name and/or other information. You can have seperate greetings for individuals on-campus as well as off-campus. The greetings can be changed daily, if you want to let people know your daily schedule. If you record only an external greeting, it will also be played for internal calls.
To record a greeting in Voice Mail:

  1. Press 822 for internal greeting; Press 821 for external greeting.
  2. Press 5 then begin recording your greeting
  3. Press # when finished the greeting.
  4. Press 2 to listen to your recording.
  5. Press 76 to delete the recording. Then start over.

Temporary
This feature replaces your standard greeting temporarily until the expiration date is reached. It is not necessary to re-record your internal or external greeting if this feature is used.

  1. Press 823
  2. Press 9, to set the expiration date.
  3. When prompted enter the number of the month and #, then the number of the day and #, then the time and #.
  4. Press 5 then begin recording your greeting
  5. Press # when finished the greeting.
  6. Press 2 to listen to your recording.
  7. Press 76 to delete the recording. Then start over.

Compose and Record a Message
To compose a message:

  1. Press 75
  2. When prompted, enter each extention and press #.
  3. Press # after last extion to finish.

To check and edit your message, press #.

  1. Press 2 to play the message.
  2. Press 1 to skip back by 5 seconds. Press 3 to skip forward by 5 seconds.
  3. Press 5 at the beginning of the message to erase.
  4. Press # when finished.

To send your message:

  1. Press 79

Message Delivery Tags
With voice mail, you can mark messages for special handling, after you have recorded the message.

  1. Press # to end recording your message.
  2. Press the option for the code you want to use.
    • 701 - Urgent Delivery
      List first for the recipient, ahead of other messages.
    • 704 - Private Delivery
      The recipient cannot forward your message to others.
    • 705 - Acknowledge
      When the recipient listens to your message, you will receive an acknowledgement.
    • 706 - Timed Delivery
      Set the message to be delivered at a later date and time.

Distribution Lists
You can create 9 distribution lists, with up to 99 recipients on each.

  1. Press 85
  2. Press 5 to compose the list.
  3. Enter a number from 1 to 99 to identify the list and press #.
  4. Enter each mailbox number and press #. To dial by name, press 11, then begin spelling the last name. (Q=7, Z=9)
  5. To delete the last entry in the list, Press 0#.
  6. Press # to finish.

To check a distribution list:

  1. Press 85, then 5
  2. Enter the number of the list and press #
  3. Press 2 to play the list.

To change or delete a list:

  1. Press 85
  2. Enter the number of the list and press #
  3. Press 76 to delete the existing list.
  4. Then create a new list.

Express Messaging

    Express Messaging allows you to leave messages in another mailbox without logging in to your mailbox
  1. Dial 2101 (824-2101 from outside the system)
  2. Enter the mailbox number (extension) of the person for whom you're leaving a message
  3. Press #
  4. Wait for the tone, then record your message
  5. Hang up when finished

Bypassing a User's Greeting

  1. At the beginning of the greeting, press #
  2. Leave your message after the tone.

Assigning a Custom Operator

    In your greeting you can tell callers to press zero after the tone if they wish to speak to someone in your absence
  1. While logged in to Voice Messaging, press 80 for mailbox options
  2. Press 1 to review the custom operator number
  3. Enter the new custom operator number
